Fitclan Carnival is organised by Madras West Round Table 10 and Madras Ladies Circle 2 ("we", "us"). This policy explains what personal information we collect through this website and how we use it.
What we collect
- For each Donor Pass holder: name, mobile number and gender.
- For the person booking: email address, postal address and pincode.
- For 80G tax receipts: PAN and the additional donation amount.
- Payment details are handled by our payment gateway, Cashfree Payments. We do not see or store your card or bank details.
How we use it
- To issue passes and their QR codes.
- To email the booker a PDF ticket and payment receipt.
- To send the Wild Warrior Circuit slot-booking link and event updates.
- To check pass holders in at the venue.
- To issue 80G receipts and meet our legal and accounting obligations.
Who we share it with
Only the service providers that help us run registrations: our payment gateway, our email provider, Make.com (automation) and Google (record keeping). We do not sell your information or share it with sponsors for marketing.
How long we keep it
Registration data is kept until 6 months after the event. Records needed for 80G and accounting are kept for the period required by law.
Your choices
You can ask us to correct or delete your information, or stop event messages, by writing to secretarytable10@gmail.com. Photographs may be taken at the event; tell our team at the venue if you'd prefer not to be photographed.
